RCS Highlighted Feature: Bulk Calling and Phone System

Happy Monday and welcome to this week’s Monday Memo! This week we’ll be highlighting another type of marketing feature available through RCS!

Although all things mobile and internet based are the way of the world these days, sometimes the most direct way of getting information or selling your services is over the phone.

At RCS we offer a phone system that allows you to forward catering phone calls to specific phone numbers so that the right person is taking those calls every time. What is also great about our phone system is its ability to record incoming and outbound calls for review.

Whether you are making sales calls, or just taking orders, you’ll never have to wonder if something was missed.

Our newest feature within this phone system is our Bulk Calling List. This feature allows you to make your calls, have your contacts full information laid out in front of you at once, allowing you to change any pieces of information and save it without ever having to leave the page. If you currently have our RCS Phone System, simply go to the Calls tab, then click on Bulk Calling List and select the group of individuals that you would like to call!

RCS New Feature: Permission Based Menu

Happy Monday!

NEW FEATURE ALERT! We wanted to let you know about a new feature that we have.

This article will go over how to create a permission based menu. A permission based menu will only allow specific customers to access a certain menu. This is a great feature to have Whole Sale Menus or specifically designed menus for certain types of customers.

We will also show you how to give the customers access to view the Permission Based Menu.

1 – Click on the Admin tab

2 – Scroll down to the Menu section and click on the Menu Manager bubble and link

3 – To CREATE a Permission Based Menu click on the Add Menu tab.

4 – A pop up box will appear. You will fill out the information and remember to Check off the Permission Based Menu check box. Do not forget to click Save This Information tab.

5 – Your new Permission Based Menu will now appear. You will now need to add categories and menu items to your menu.

6 – To CHANGE an existing menu to Permission Based click on the Menu you want to change and then click on the Edit Menu tab.

7 – A pop up box will appear. Look for the Permission Based Menu check box and check it off. Then click the Save This Information tab.

8 – This menu will now only appear to customers who have permission to see it.

Here is how to give customers permission to see a Permission Based Menu.

1 – You will first click the CRM tab – search for the customer and click on the customers name

3 – Once you click on the Icon then a pop up box will appear. Check the box off for the menus that the customer is allowed to view and click on the Save Changes tab.

You have now given the customer permission to view a specific menu.

RCS Highlighted Marketing Feature: Nearby Now

Happy Monday and welcome to this week’s Monday Memo! This week we’ll be highlighting a marketing feature available through RCS!

Let’s do an experiment. Go to your web browser, and search for catering in your city (ex. Nashville catering). How many pages/scrolls did you have to go through to find your business?

Online visibility is crucial these days. When searching for a caterer, a viewer can receive hundreds of search results in less than a second. Unfortunately, if your business doesn’t appear on the first page, or even the first result, it’s hard to get the traffic that you have worked so hard for.

RCS New Features

NEW FEATURE ALERT! We have been listening and we have some new features to let you know about! Below is a list of 4 new features we have recently added to RCS. I have also included a link next to each feature that will show you a video on how to use the new feature.

1 – You can now add a note to an activity without the note completing the activity.

RCS Highlighted Marketing Feature: Marketing Folders

Happy Monday and welcome to this week’s Monday Memo! This week we’ll be highlighting another type of marketing feature available through RCS!

When you go prospecting, whether it’s door to door, or through your Sales Tempo, it’s important to have pieces that you can leave behind to leave a lasting impression.

The Marketing Folder can help you look professional and organized, while leaving behind a bit of your branding with the prospect/customer. This folder, which is the same size as a regular file folder, is branded with your logo, website’s URL and phone number, as seen in the screenshot below:

When meeting with a prospect, fill this folder with a copy of your menu, staple your business card to the front, and leave it with them to keep in their filing cabinet.

You can even recommend that they keep other menus they may have floating around the office in it as well so the next time they are ready to order, all their menus are in one place. This will guarantee it’s safe keeping, and will guarantee your logo and company info will be right in front of them each time they open the cabinet.

RCS New Feature: File Attachments

Happy Monday!

Once again we have a new feature to announce! You can now upload a file 2 different ways in your RCS account.

You can upload a file to a client’s CRM record and you can upload a file to an order.

For example if the client’s company is tax exempt you might want to upload the tax exempt form to keep on record. Or if the client fax over a map to the delivery location you will want to have that attached the order.

Several of our RCS clients requested this feature and we are thrilled to let you know that it has been added to all Pro-Marketing Plus packages.

How to add a file to the customers CRM record:

1 – Click on the CRM tab -then search for the Client and then click on the Client’s Name link.

2 – Click on the Documents icon. Below you will see the section for uploading a document.

3 – To upload you will click on the Choose File tab

4 – You will then select the file you want to upload from your computer (this part may be different with different computers or web browsers)

5 – Once the file name appears you can then click the Upload Document tab

7 – To View your upload by clicking on the File link and then the file will download to your computer. You can delete the upload as well under the Action column using the Delete icon

How to add a file to an order:

1 – Click on the Overview tab and then click on the Order Id number

2 – The Order Details Page will appear. Next click on the Choose Function Drop Down box.

3 – Click on the Attach Files link

Please note you have 2 choices of where to locate the file:
If the file is located on your computer:

11 – A pop up box will appear with the files you have previously uploaded to the customer’s CRM record. Please note any files you upload to an order will Automatically be uploaded to the customer’s CRM record as well to be stored.

RCS Highlighted Marketing Feature: Can Label

Happy Monday and welcome to this week’s Monday Memo! This week we’ll be highlighting another type of marketing feature available through RCS!

When you go prospecting, whether it’s door to door, or through your Sales Tempo, it’s important to have pieces that you can leave behind to leave a lasting impression.

The Can Label can do just that. Go to the store, get some cans of soup, vegetables, etc. and remove the labels. Then, put this label on instead: https://www.screencast.com/t/uQyCuiwdGM0

Now think about this: if someone placed this in your hand, what would you do? You would take a few seconds to read it and figure out what you are holding. The idea is to give them something so different from just a business card or flyer, that not only will they give you a few more moments of your time, but they will remember you much easier.

A great way to have fun with this piece is to hollow out the can, clean it out and make sure it’s not sharp around the edges, and fill it with your tri-fold menu, business card, a pack of M&M’s, Twizzlers, etc. and use that as your cookie drop. Nobody, and I repeat NOBODY, will turn you away with free candy in your hand at 3:00 in the afternoon.

Others have filled the can with holiday themed items, like a pair of sunglasses, sunscreen and candy for the summer, or filled with beads and feathers for Mardi Gras. The possibilities are endless!

Whatever you can do to differentiate yourself from the competition is going to be game changing for your catering business! RCS Highlighted Feature: CRM Groups

Happy Monday!

This article is going to go over how to add groups to the CRM tab and how to assign a group to a customer. Please note that groups are assigned to a customer verses the industry field is assigned to a company. A company can only be listed as one type of industry but a customer can be in more than one group. For example Colleen is a school teacher – she would be assigned to a the group called Schools – but Colleen also orders for her Sunday school class – so she would also be assigned to the group called Church.

Please note that under the Marketing Tab – Email Marketing you can select groups to have emails sent to.

Please note that you can look up all the customers that fall into a group using the Contact Search Icon.

HOW TO CREATE A GROUP:

1 – Click on the CRM tab and look for the Group icon.

2 – Next a Pop Up Box will appear with a list of the Groups that have been created. Please note that if you are new account then they may not be any groups created yet.

3 – You can use the Create A New Group section to add a new type of Group to your list. Click Save to add the new group.

4 – To Delete a group you will just click on the Group name – a Pop Up box will appear double checking making sure this is what you intended to do. If yes then click OK.

You have now reviewed your group list – added a new group – or deleted an existing group.
HOW TO ASSIGN A GROUP TO A CONTACT:

1 – Click on the CRM tab and Search for the contact you want to work with.

2 – Then under the Info Data tab for the customer look for the Group drop down.

RCS Highlighted Feature: Fishbowl Campaign

Happy Monday and welcome to this week’s Monday Memo! This week we’ll be highlighting another type of marketing feature available through RCS!

Some of the best and most important marketing that you can do is within your business to your current clients. Over the next few weeks, we will focus on the different kinds of 4 Walls Marketing that you should have on display within your restaurant. Today’s feature is the Fishbowl Campaign.

A Fishbowl Marketing Campaign is a way to collect information from interested prospects from inside your restaurant. Most campaigns feature a giveaway of some sort, and a glass bowl to collect business cards.

However at RCS, we like to sharpen original methods like this to make sure that you get the best results possible.
Our Fishbowl campaign offers a free drop off catering giveaway to the winner of the fishbowl drawing. However, not everyone has a business card to drop into your bowl. That’s where our Fishbowl lead generation forms come into play.

Once your bowl begins to fill up, review the entries and separate those who are decent leads, from those who are HOT leads. Contact the best lead(s) first, and congratulate them on their win! This can be the beginning of a great relationship with them!

Now we can’t all be grand prize winners in life, but you can absolutely still get your foot in the door with the other leads that entered. Contact them and let them know that while you have already selected a winner, they have still won free cookies or brownies for the whole office! When you go to deliver their goodies, strike up a conversation with the catering decision maker. Make sure to bring a copy of your menu to leave with them!

RCS Highlighted Feature: Tax Exemption

Happy Monday!

This Monday Memo will go over how to mark a company tax exempt. Once the company has been marked tax exempt the tax rate will automatically be set at 0% when placing an order. Please note that if the customer places the order that does not need to be tax exempt you can manually the tax rate back in.

1 – Click on the CRM tab and then Search for the client.

2 – Click on the Company tab and look for the Tax Exempt section.

3 – Change the Tax Exempt form No to Yes and add in the Tax Exempt ID Number. Then click Save to save the changes.

You have now made a company in your CRM tab Tax Exempt.
